Data Privacy Notice
1. Your personal data – what is it?
‘Personal data’ means information about a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in a data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation 2018 (the “GDPR”). From 25 May 2018, all charities, along with other organisations, must comply with the GDPR’s requirements.
2. Who are we?
The Trustees of Carelinks are collectively the data controller. The trustees decide how your personal data is processed and for what purposes.
3. How do we process your personal data?
We keep personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure; and by ensuring that appropriate measures are in place to protect personal data.
We only hold personal data that we have a genuine need for, and only with your agreement and, with your help, ensure that the data is up to date and accurate.
4. What personal data do we hold, and why?
The data that we hold are:
- The email addresses of those who receive our regular Carelinks and pastoral emails,
- The names and addresses of those who receive the Gospel News magazine,
- The names, addresses and (where appropriate) Gift Aid declarations of donors. The details of new donors may also be added to the mailing list for Gospel News.
We take your privacy seriously and will use your personal data only to send you information that you have asked to receive and, in the case of our donors, to send receipts and to administer donations given under Gift Aid.5. What is the legal basis for processing your personal data?
In compliance with the GDPR, we hold and process personal data only with your explicit consent.
6. Sharing your personal data
Your personal data will be treated as strictly confidential and will only be used for the purposes listed above. We will not share your data with third parties under any circumstances.
7. How long do we keep your personal data?
We will keep Gift Aid declarations and associated paperwork for up to six years after the calendar year to which they relate; and other personal data listed above for five years, after which we will seek renewed permission to retain the data.
8. Your rights and your personal data
You have the following rights with respect to your personal data:
- The right to request a copy of your personal data which we hold about you;
- The right to request that we correct any personal data if it is found to be inaccurate or out of date;
- The right to request your personal data is erased where it is no longer necessary for us to retain it;
- The right to withdraw your consent to the processing at any time;
- The right to request that the data controller provide you with all the personal data which we hold about you;
- The right to lodge a complaint with the Information Commissioner’s Office.
